What You Learn and Create › Real HR Workplace Documents

Will I create real HR workplace documents in the Certificate IV HR?

For learners who want to know whether the course produces practical evidence, or only written answers.

Quick answer

Yes. Learners may create realistic HR workplace documents as part of their assessment, including recruitment records, onboarding tools, employee communications and performance documentation. These documents are designed to reflect common HR tasks. They may be completed using a workplace, a simulation or a provided case study, depending on the assessment requirements.

What counts as a workplace style HR document?

The phrase gets used loosely, so it is worth being specific. A workplace style document has four things a study exercise usually does not.

It has a real purpose. Someone would use this to do something, not just to demonstrate understanding. It has an audience, which shapes the language and level of detail. An onboarding checklist read by a manager is written differently from a policy summary read by a new employee.

It has a structure that suits its function, because a document people actually use has to be usable. And it contains decisions. Somebody had to determine what belonged in it, in what order and with what emphasis. That is where the learning sits.

Remove the decisions and you have a form. Keep them and you have a piece of work that shows how someone thinks.

Are the documents just blank templates?

No. Templates may provide structure, but learners should still be required to analyse information, make appropriate decisions and complete the document for a realistic HR purpose.

Recruitment documents learners may create

The recruitment set is usually the first group of documents you build, and it follows the process in order:

  • A recruitment plan setting out what the role requires and how the process will run
  • A job advertisement, written to attract suitable applicants without overstating the role
  • Interview questions tied to the selection criteria rather than improvised
  • Candidate assessment records showing what each applicant demonstrated
  • Communications to applicants at each stage of the process

These connect directly to the process walkthrough in how the course covers recruitment and onboarding.

Onboarding and induction documents

The onboarding set is the most immediately reusable group, because most organisations either lack these documents or have ones nobody has reviewed in years:

  • An onboarding checklist covering tasks, owners and timing
  • An induction schedule for the first days and weeks
  • A welcome communication sent before commencement
  • A follow up record for check ins after the start date

The checklist in particular tends to outlive the assessment. Build a good one and it becomes a working tool.

Can I use documents from my own workplace?

Possibly. This depends on the assessment instructions, workplace permission, confidentiality requirements and whether the documents provide the required evidence.

Performance and employee support documents

The performance set carries the most weight, because these are the documents that get read closely if a matter is ever disputed:

  • Performance review records capturing what was discussed and agreed
  • Development plans with actions, support and review dates
  • Feedback summaries written in specific, neutral language
  • Recommendations to a manager based on a workplace situation

Writing these well is a distinct skill. The language has to be accurate enough to be useful and neutral enough to hold up when read by someone who was not present.

Why creating documents matters

There is a practical reason the qualification is built this way, and it is not just assessment convenience.

Producing a document forces decisions that reading never does. You cannot write an onboarding checklist without deciding what happens in week one and who owns each task. You cannot draft a development plan without working out what support the organisation is actually committing to. The document extracts the thinking.

It also gives you something to show. When an employer asks whether you have handled onboarding, describing a document you built and the choices you made building it is a different answer from describing a topic you studied.

What these documents do not prove on their own

An honest note

  • A completed template does not automatically prove competence
  • Simulated documents are not official workplace records
  • Documents must reflect sound decisions, not just filled fields
  • Confidential information must not be submitted without permission

The last point is worth taking seriously. Real employee information belongs to the employer and to the people it concerns. If you intend to use workplace material, get permission first and remove identifying detail unless you have been told you may keep it.

Can I use the documents as a professional portfolio?

Possibly, but only after removing confidential or simulated information and confirming that the material can be shared. Assessment documents are primarily created to demonstrate competence.
